Responsibilities:
- Preparing, organizing, printing, and assembling documents and materials for Board meetings
- Preparing documents for signatures and final approval
- Drafting and formatting routine correspondence and documents
- Proofreading and editing documents for accuracy, grammar, formatting, and consistency
- Maintaining organized client files, records, calendars, directories, and other reference materials
- Conducting research and gathering, summarizing, and organizing information
- Creating and maintaining transcript files related to water district creations, elections, annexations, and land transactions
- Communicating with counties, clients, consultants, and internal teams by phone and email to obtain necessary documentation
- Following up independently on outstanding items and managing multiple projects with varying deadlines
- Assisting with board meeting materials and other administrative projects
- Providing occasional transcription support
- Making occasional local trips to obtain signatures, notarizations, or other documents
- Taking on additional responsibilities as you become more familiar with the Legal Assistants’ work and client needs
Qualifications
- Associate’s degree required
- 2+ years of full-time professional office experience preferred
- Strong proficiency with Microsoft Office, particularly Word, Outlook, and Excel
- Experience proofreading and editing documents
- Strong verbal and written communication skills
- Ability to learn quickly, prioritize competing deadlines, and manage multiple projects
- Strong organizational and problem-solving skills
- Legal experience is not required; backgrounds in administrative support, education, school systems, or similar environments can be a strong fit
- Must be willing to obtain and maintain a Notary Public commission upon hire
- Highly organized and detail-oriented
- A strong proofreader with excellent writing and communication skills
- Able to manage multiple priorities and deadlines
- Flexible and adaptable in a fast-paced, deadline-driven environment
