The HT Group has partnered with an established Austin-based technology client in the search for a qualified Lead Executive Assistant for an immediate, growth-created need. Our client is looking for a strategic and detailed-oriented individual who will drive consistent and efficient processes for two of the firm’s C-Suite leaders.  They will need a positive, customer focused mindset, superior communication skills, mature emotional intelligence, with a “can do” attitude to be successful. 

This individual will be mostly (90%) onsite and will be based in our client’s North Austin offices.  The role will require some overtime as well.

What you will do:

  • Reviews and approves all aspects of the operations and agent contracting process for US and international life insurance business. Provide administrative, travel, calendar, and team support to CEO and CFO.
  • Provide support of liaison, communication, and team meetings, to the CEO and CFO team members.
  • Liaison with Executive Assistants for event planning and scheduling.
  • Own the Executive calendar; prioritize appointments as necessary
  • Plan and coordinate major offsite meetings, events and executive travel.
  • Arrange domestic and international travel schedule and reservations.
  • Prepare expense reports and ensure submission in a timely fashion.
  • Review and answer email and inquiries and determine if executive action is required.
  • Take a leadership role with staff meeting agendas and drive focus and action item follow up.
  • Effective project management of assigned project work.
  • Promote collaboration, and maintain a deep understanding of strategy and senior leadership team objectives.
  • Lead global executive support team by encouraging information sharing, leading monthly best practices training, champion the learner mindset and foster culture of continuous improvement.
  • Maintain governance and avenues for information sharing and process improvements across the global executive support team.

Qualifications:

  • Bachelors degree in Business Administration or similar field
  • 5+ years’ experience supporting leadership or executive teams
  • Experience working across multiple time zones in a lrge-scale organization.
  • Advanced skills with Office365 collaborative tools (Outlook, Teams, SharePoint, etc.)
  • Solution oriented with the ability to distill the big picture into actionable items.
  • Professional maturity: strong emotional intelligence, integrity, tolerance for ambiguity.
  • Be accountable for results and transparent around deadlines and deliverables.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Communication with all levels of the organization.
  • Maintain confidentiality around sensitive information.
