Project Assistant

This position will support multiple Attorneys, Legal Assistants, the Office Manager, and other office staff with all administrative functions and duties.

Duties and Responsibilities

  • Support Attorneys through heavy Word Processing skills, primarily focused on Contract documentation and review
  • Assist with scheduling meetings and conference calls for all Austin personnel Print billing documents and distribute as needed
  • Create and manage expense reports/files for Austin office Create PowerPoint presentations for attorneys
  • Manage and answer all phones lines Document revisions upon request
  • Enter time for Attorneys in the timekeeping system
  • Make travel arrangements and restaurant reservations as requested Assist with management of calendars for all Austin personnel
  • Assist with preparation of E-file to send to Houston
  • Assist with preparation of meetings such as providing print-outs, set up technical devices and communication support
  • Arrange for couriers
  • Greeting guests, receiving deliveries, directing traffic to the conference room Collect, sort and distribute mail
  • Process mail-outs and overnight deliveries All other duties as assigned

Skills and Qualifications

  • Superb proficiency with Microsoft Word
  • Highly proficient with Power Point and Excel
  • Excellent calendaring skills, including making appointments and scheduling meetings (Outlook) Experience with electronic filing and document management
  • Experience with making travel arrangement and reservations Professional attitude and appearance
  • Solid written and verbal communication skills
  • Excellent organizational skills, with an emphasis on being detail oriented
  • Multitasking and time-management skills, with the ability to prioritize tasks and handle pressure
